AI automation for construction and property businesses in Australia

AI automation for construction and property in Australia handles the documents and admin around projects and portfolios: logging RFIs and variations, processing subcontractor claims and invoices, tracking compliance certificates, triaging tenant and owner requests, and preparing progress and portfolio reports. Project and property managers stay in charge of approvals, payments and anything contractual.

Vermilion Intelligence is an AI and automation consultancy helping mid-to-large organisations in Australia and New Zealand put AI agents to work on repetitive tasks.

Tasks AI agents can take on

Construction projects and property portfolios both produce constant streams of documents with deadlines attached. Missing one can be costly, and tracking them by hand is tedious.

Agents can keep those streams organised and visible, so managers see what needs a decision rather than searching for it.

  • Subcontractor claims and invoices

Agents can check claims and invoices against contracts and progress records, and flag differences for the project manager.

  • RFI and variation logging

Agents can log RFIs and variations from email, track responses and remind the right people as dates approach.

  • Compliance document tracking

Agents can track insurance certificates, licences and safety documents for subcontractors, and chase them before they expire.

  • Progress reporting

Agents can compile site diaries, forms and programme updates into regular progress reports.

  • Tender document management

Agents can index tender documents, summarise key requirements and track questions and addenda.

  • Tenant and owner requests

Agents can triage maintenance requests, create work orders and keep tenants and owners updated.

  • Lease administration

Agents can track lease dates, rent reviews and options, and prepare reminders and notices for review.

Typical systems agents connect to

Systems are listed as examples of what agents can connect to, not as endorsements or partnerships.

  • Construction platforms such as Procore or Aconex
  • Estimating and job costing software
  • Accounting systems such as Xero, MYOB or Jobpac
  • Property management software such as PropertyMe, Console Cloud or MRI
  • Document stores and shared inboxes

Compliance notes

Australian and New Zealand rules to design around

General information only, current at the time of writing, and not legal advice. Check the source and take advice for your situation.

  • Security of payment timeframes

Each state and territory has security of payment laws with strict timeframes for payment claims and payment schedules, such as the Building and Construction Industry Security of Payment Act 1999 (NSW). Agents can track those dates and draft responses, but contractual decisions stay with your team.

  • AML/CTF for real estate from 1 July 2026

Real estate agents, buyer's agents and property developers providing certain designated services now have AML/CTF obligations, including customer due diligence. Agents can help collect and organise information, but your AML/CTF program and compliance officer remain responsible.

  • Trust accounts and tenant information

Property agents' trust accounts are governed by state law, so agents shouldn't move trust money; they can prepare reconciliations for a licensee to check. Rental applications contain personal information covered by privacy law.

How we work

How our four steps apply in construction and property

  1. Step 1: AI Readiness Assessment

We review claims, RFIs, compliance tracking and tenant requests, and find where deadlines depend on someone remembering.

  2. Step 2: Roadmap

We prioritise document tracking and admin with clear deadlines, keeping payments and contractual decisions with people.

  3. Step 3: Implementation

We connect agents to your project, accounting and property systems and shared inboxes, with access scoped to each project or portfolio.

  4. Step 4: Ongoing support

We monitor deadlines and exceptions with your managers, and extend agents to new projects and properties.

FAQ

Frequently asked questions

Can AI agents process subcontractor payment claims?

Agents can check claims against contract values, progress records and previous claims, flag differences and track the timeframes that apply. The decision on what to pay, and the payment schedule itself, stays with your project manager or contract administrator, because security of payment laws carry strict consequences.

Can AI handle tenant maintenance requests?

Yes. An agent can read requests from email or a portal, ask for missing details or photos, create a work order, notify the right tradesperson under your rules and keep the tenant updated. Urgent repairs and anything unusual are escalated to the property manager straight away.

Does this work with Procore or our property management software?

Most construction and property platforms, including Procore, Aconex and PropertyMe, offer APIs or integrations agents can use. Where access is limited, agents can work through email notifications and exports. We confirm the approach for your systems in the readiness assessment.
