AI automation for healthcare and allied health practices in Australia

AI automation for healthcare in Australia focuses on the administration around care: referrals, intake forms, appointment reminders, claims preparation and correspondence. Clinicians and practice staff stay in control of every clinical decision, and health information is handled as sensitive information under the Privacy Act and the state health records laws that apply.

Vermilion Intelligence is an AI and automation consultancy helping mid-to-large organisations in Australia and New Zealand put AI agents to work on repetitive tasks.

Tasks AI agents can take on

Practice teams handle a lot of administration that keeps care running: processing referrals, chasing forms, confirming appointments and preparing claims. Agents can take on much of that load.

We focus on administrative work. We don't build tools that diagnose, triage clinically or recommend treatment.

  • Referral intake

Agents can read incoming referrals, extract the details and prepare the patient record for staff to confirm.

  • Intake forms and consents

Agents can send pre-appointment forms, check they're complete and flag missing consents before the visit.

  • Reminders and waitlists

Agents can send reminders, handle simple rescheduling requests and offer cancelled slots to waitlisted patients.

  • Claims preparation

Agents can prepare Medicare, DVA, health fund or NDIS claim details from practice records for staff to check and submit.

  • Correspondence drafts

Agents can draft letters to referrers from the clinician's notes, for the clinician to review and sign.

  • Inbox triage

Agents can sort the practice inbox, handle administrative messages and pass anything clinical to the right practitioner without acting on it.

  • Practice reporting

Agents can produce regular reports on appointments, cancellations and outstanding invoices.

Typical systems agents connect to

Systems are listed as examples of what agents can connect to, not as endorsements or partnerships.

  • Practice management systems such as Best Practice, MedicalDirector, Cliniko, Halaxy or Nookal
  • Secure messaging such as HealthLink or Medical-Objects
  • Claiming integrations within practice software
  • Online booking and forms tools
  • Microsoft 365 or Google Workspace

Compliance notes

Australian and New Zealand rules to design around

General information only, current at the time of writing, and not legal advice. Check the source and take advice for your situation.

  • Health information is sensitive information

Under the Privacy Act, health information is sensitive information, and organisations that provide a health service and hold health information are covered regardless of turnover. Collection generally requires consent, and secondary uses are tightly limited.

  • State health records laws

Some states have their own health records laws alongside the Privacy Act, such as the Health Records and Information Privacy Act 2002 (NSW) and the Health Records Act 2001 (Vic). Agents must be designed around whichever laws apply to your practice.

  • Advertising rules for health services

Advertising for regulated health services must comply with the Health Practitioner Regulation National Law, which among other things prohibits testimonials. AI-drafted marketing for practices needs a compliance check before it's published.

  • New Zealand: Health Information Privacy Code

In New Zealand, the Health Information Privacy Code 2020 applies to health agencies in place of the general privacy principles, including new rule 3A on indirect collection from 1 May 2026.

How we work

How our four steps apply in healthcare and allied health

  1. Step 1: AI Readiness Assessment

We review front-desk, referral, claims and correspondence work, and map exactly where health information flows.

  2. Step 2: Roadmap

We prioritise administrative tasks with no clinical decision-making, where staff already check the output.

  3. Step 3: Implementation

We connect agents to your practice-management system and inbox with the minimum access each task needs, and log everything they do.

  4. Step 4: Ongoing support

We monitor outputs with your practice manager and adjust agents as forms, funders and rules change.

FAQ

Frequently asked questions

Will AI make clinical decisions in our practice?

No. We build agents for administrative work only, such as referrals, forms, reminders, claims preparation and correspondence drafts. Anything clinical, including results, symptoms and treatment questions, is passed to a practitioner without the agent acting on it. Software that diagnoses or recommends treatment can be regulated as a medical device by the TGA.

Is it safe to use AI with patient information?

Only with strong controls. Health information is sensitive information under the Privacy Act, so we start with a privacy impact assessment, use business-grade AI services whose data handling you've reviewed, limit each agent's access, keep logs, and never put patient information into public consumer AI tools.

Can AI help with Medicare, DVA or NDIS claims?

AI agents can prepare claim details from your practice records, check for missing information and flag issues before submission, which can reduce rework. A staff member should still review and submit claims, and the agent works through your existing practice software rather than around it.

Send us a short description of the tasks, the team and the systems involved. We'll reply with an honest view of whether AI agents are a good fit, and what an assessment would look at.
