AI customer service automation for Australian and New Zealand businesses

AI customer service automation uses agents to answer common enquiries, triage and route requests, draft replies for your team, and update your CRM or helpdesk, across email, web chat and, where it suits, phone. Routine enquiries can be answered sooner, your people can focus on the conversations that need them, and every AI interaction is clearly identified as AI.

Vermilion Intelligence is an AI and automation consultancy helping mid-to-large organisations in Australia and New Zealand put AI agents to work on repetitive tasks.

Enquiries and tasks we automate

Many customer enquiries are variations on the same few questions: where's my order, what's my balance, can I change my booking, how do I do this. Agents can answer those from your systems and approved knowledge, at any hour, and hand anything uncertain to a person.

The goal isn't to stop customers reaching people. It's to make sure that when they do, your team has the time and context to help properly.

  • Triage and routing

Reading every incoming enquiry, working out what it's about and how urgent it is, and sending it to the right queue.

  • Drafted replies

Preparing responses from your knowledge base and the customer's record for an agent to check and send.

  • Web chat answers

Answering common questions on your website from approved content, with a clear hand-off to a person.

  • Status lookups

Checking orders, bookings, cases or accounts in your systems and giving customers an up-to-date status from your systems.

  • After-hours capture

Gathering the details of enquiries outside business hours so your team starts the day with complete information.

  • Voice agents for simple calls

Handling straightforward phone requests, such as bookings or status checks, where that suits your customers.

  • Case summaries and CRM updates

Summarising each interaction and logging it against the customer record.

How it works

How it works

  1. Step 1: Analyse your enquiries

We group a sample of real enquiries to see which are safe and worthwhile to automate.

  2. Step 2: Build the knowledge

We prepare the approved answers, policies and system lookups the agent will use.

  3. Step 3: Launch with a safety net

Agents start by drafting for your team, then answer directly only where they've proven reliable.

  4. Step 4: Monitor and improve

We review conversations, escalations and feedback, and update the agent regularly.

Customer data and privacy in Australia and New Zealand

  • Australian Privacy Principles

Personal information used by an AI agent is covered by the APPs. The OAIC recommends due diligence on AI products and a privacy impact assessment.

  • Say it's AI

The OAIC recommends that public-facing AI such as chatbots is clearly identified as AI. We always offer a route to a person.

  • New Zealand Privacy Act 2020

For New Zealand customers, the Information Privacy Principles apply, and the Office of the Privacy Commissioner has published guidance on AI.

  • Minimum data, maximum control

Agents see only the customer information they need, through business-grade AI services whose data handling you've reviewed.

FAQ

Frequently asked questions

Is it safe to use AI agents with customer data in Australia and New Zealand?

It can be, with the right controls. In Australia the Privacy Act and APPs apply, and the OAIC (oaic.gov.au) advises due diligence on AI products and clear labelling of chatbots. In New Zealand the Privacy Act 2020 applies (privacy.org.nz). We limit agents' data access, use business-grade services and log activity.

Will AI replace our customer service team?

That isn't the aim. AI agents take on the repetitive enquiries and admin, such as status checks, routing and case notes, while your people handle the complex, sensitive or valuable conversations. Customers should always be able to reach a person, and your team supervises what the agents do.

What customer enquiries can be automated?

The best candidates are frequent, well-defined requests with clear answers in your systems or policies: order and booking status, account details, opening hours, simple changes and cancellations, document requests and basic product questions. Complaints, hardship, vulnerable customers and complex disputes should go straight to a person.
