Service
Workflow automation services in Australia that connect your people, systems and AI agents
Our workflow automation services link the steps of a process across email, forms, spreadsheets and business systems, so work moves without someone copying, chasing or re-keying it. We combine rules-based automation for predictable steps with AI agents for steps that need reading or judgement, and keep people in charge of approvals.
Vermilion Intelligence is an AI and automation consultancy helping mid-to-large organisations in Australia and New Zealand put AI agents to work on repetitive tasks.
Workflows we automate
Many delays aren't in the work itself but in the gaps between steps: waiting for someone to notice an email, forward a form, update a spreadsheet or chase an approval. Workflow automation closes those gaps.
We use the simplest tool that does the job reliably. Not every step needs AI.
Approvals and routing
Send requests to the right approver with the context they need, and record the decision.
Onboarding
Coordinate the forms, accounts, documents and reminders for new staff, clients or suppliers.
Data hand-offs
Move information between systems automatically when something changes.
Scheduled jobs
Run regular tasks such as exports, reconciliations and reminders on time, every time.
Notifications and escalations
Alert the right person when something is overdue, unusual or needs a decision.
Exception queues
Collect the cases automation can't handle into one place, with the details a person needs to resolve them.
How it works
How we automate a workflow
Step 1: Map the process
We document how the work flows today, including the workarounds people rely on.
Step 2: Redesign before automating
We remove unnecessary steps first, so you don't automate a broken process.
Step 3: Build
We combine rules, integrations and AI agents, with approval points where they matter.
Step 4: Run and refine
We watch the exception queue and tune the workflow as real cases come through.
FAQ
Frequently asked questions
What is workflow automation?
Workflow automation uses software to move a process from one step to the next without manual hand-offs: routing requests, updating systems, sending reminders and recording decisions. Traditional automation follows fixed rules. Adding AI agents lets a workflow handle steps that involve reading emails or documents and making simple judgements, while people approve the important decisions.
Do we need AI, or is simple automation enough?
Often, simple automation is enough. If every input looks the same and the rules never change, rules-based automation is cheaper and more predictable. AI becomes worthwhile when inputs vary, such as free-text emails, scanned documents or unusual requests. We recommend the simplest approach that works reliably for each step.
What happens when an automated workflow hits an exception?
It stops and asks for help. We design every workflow so that anything unusual, incomplete or low-confidence goes to an exception queue with the details a person needs to resolve it quickly. Those cases are reviewed regularly so the workflow can be improved to handle more of them over time.
