AI automation for wholesale distribution and FMCG businesses in Australia

AI automation for wholesale distribution and FMCG in Australia handles the order-to-cash paperwork that slows distributors down: entering customer orders from emails and PDFs, matching invoices to orders and deliveries, updating price and product data, and following up overdue accounts. Agents work inside your ERP and email, and your team approves exceptions and credit decisions.

Vermilion Intelligence is an AI and automation consultancy helping mid-to-large organisations in Australia and New Zealand put AI agents to work on repetitive tasks.

Tasks AI agents can take on

Distribution margins depend on efficiency, yet many orders still arrive as emails, PDFs and spreadsheets that someone keys into the ERP. Agents can take that keying off your team.

The same applies on the supply side: supplier price files, invoices and delivery paperwork are all repetitive and checkable.

  • Order entry

Agents can read purchase orders from email and PDFs, create sales orders in your ERP and flag anything unusual for review.

  • Price-list and product updates

Agents can load supplier price files and product changes into your ERP, highlighting changes above the thresholds you set.

  • Invoice matching

Agents can match supplier invoices to purchase orders and goods receipts, and queue mismatches for a person.

  • Accounts follow-up

Agents can prepare statements and reminder emails for overdue accounts for your credit team to approve.

  • Stock and ETA enquiries

Agents can answer customer questions about availability and delivery timing from live ERP data.

  • Deductions and claims

Agents can gather the documents behind retailer deductions and trade claims so they can be checked and resolved without the manual hunt.

  • Sales and margin reporting

Agents can produce regular reports by customer, product and region, with a short summary of movements.

Typical systems agents connect to

Systems are listed as examples of what agents can connect to, not as endorsements or partnerships.

  • ERPs such as NetSuite, Microsoft Dynamics 365 Business Central, MYOB Advanced, SAP Business One or Pronto Xi
  • Warehouse management systems
  • EDI and e-invoicing providers
  • CRMs and customer portals
  • Microsoft 365 shared inboxes

Compliance notes

Australian and New Zealand rules to design around

General information only, current at the time of writing, and not legal advice. Check the source and take advice for your situation.

  • Food and grocery product data

For food products, information such as ingredients, allergens and nutrition must meet the Australia New Zealand Food Standards Code. Agents that touch this data should copy it from approved sources, never generate it.

  • Payment Times Reporting

Large businesses with total income over $100 million must report how quickly they pay small business suppliers under the Payment Times Reporting Scheme. Clean, automated accounts payable data supports that reporting.

  • E-invoicing with Peppol

Australia and New Zealand use the Peppol framework for e-invoicing. Where trading partners support it, e-invoices are more reliable than PDFs for agents to process.

How we work

How our four steps apply in wholesale distribution and FMCG

  1. Step 1: AI Readiness Assessment

We review order entry, supplier invoicing, pricing and credit control, and measure where orders and documents arrive in unstructured form.

  2. Step 2: Roadmap

We prioritise order-to-cash tasks with clear validation rules against your ERP data.

  3. Step 3: Implementation

We integrate agents with your ERP, shared inboxes and EDI, with changes to prices or credit terms always approved by a person.

  4. Step 4: Ongoing support

We monitor accuracy and exceptions, add new customer and supplier formats, and expand to the next priorities on your roadmap.

FAQ

Frequently asked questions

Can AI agents enter orders that arrive as PDFs or emails?

Yes. This is one of the most practical uses of AI agents in distribution. The agent reads the order, matches customers and products to your ERP records, creates the sales order and flags anything it can't match or that looks unusual, such as an odd quantity or an unknown product code.

Will agents change prices or credit terms on their own?

No. Agents can prepare price updates and highlight changes, but price and credit decisions are approved by your team. We set thresholds so that anything outside normal ranges is always reviewed by a person.

Does this work with our ERP?

Most current ERPs, including NetSuite, Business Central, MYOB Advanced, SAP Business One and Pronto Xi, provide integration options agents can use. Older systems can often be reached through imports, exports or a database connection. We confirm the approach for your ERP during the readiness assessment.
