AI knowledge assistants for business that answer from your own documents
An AI knowledge assistant for business lets your staff ask questions in plain English and get answers drawn from your own policies, procedures, contracts and product information, with a link back to the source document. It respects existing access permissions and is designed to say it doesn't know rather than guess.
Vermilion Intelligence is an AI and automation consultancy helping mid-to-large organisations in Australia and New Zealand put AI agents to work on repetitive tasks.
What a knowledge assistant can help with
Much repetitive work is really searching: finding the right policy, clause, price or procedure, or answering the same internal question for the tenth time. A knowledge assistant puts that information one question away.
The technique behind it is often called retrieval-augmented generation (RAG): the assistant first finds the relevant passages in your documents, then writes an answer from them.
Policy and procedure questions
Answers about leave, expenses, safety, quality or compliance procedures, with the source attached.
Product and technical information
Specifications, compatibility and pricing rules from your catalogues and manuals.
Onboarding
A patient guide for new starters that knows your systems and processes.
Drafting from approved content
First drafts of replies and documents built only from approved material.
Contract and document search
Finding clauses, obligations and key dates across large sets of documents.
Internal service desk
Answering common IT, HR and finance questions before they become tickets.
How it works
How we build a knowledge assistant
Step 1: Choose the knowledge
We agree which documents are authoritative, current and in scope.
Step 2: Prepare and permission
We organise the content and mirror your existing access rules.
Step 3: Build and test
We test answers against real questions and check sources for accuracy.
Step 4: Maintain
We keep content current and review the questions it can't answer.
FAQ
Frequently asked questions
How is a knowledge assistant different from ChatGPT?
A general chatbot answers from what it learned in training and can't see your documents. A knowledge assistant searches your own approved content first, answers from it, and links to the source, so staff can check. It runs under your organisation's accounts and access rules rather than an individual's personal tool.
Will a knowledge assistant make things up?
AI can produce confident but wrong answers, so we design against it. The assistant is instructed to answer only from retrieved sources, to show those sources, and to say when it can't find an answer. We test it on real questions before launch and keep reviewing the answers staff flag as unhelpful.
Can everyone see everything in a knowledge assistant?
No. A well-built assistant respects the permissions you already have, so staff only get answers from documents they're allowed to open. Sensitive collections, such as HR or legal files, can be excluded entirely or limited to specific groups.
